Surplus material listing checklist

Prepare the facts a buyer needs to assess the lot you actually hold. Work through the relevant sections before you create a listing, and record missing information honestly.

Use your browser's print command if you want a paper copy. This checklist supports preparation; it does not establish regulatory compliance, product suitability or permission to use a material.

Identity and intended specification

  • Record the original manufacturer and the material or component's actual commercial name.
  • State the grade, concentration or physical form you hold; identify the relevant specification.
  • Use a CAS, INCI or component reference where appropriate, without treating it as proof of interchangeability.

Quantity and purchase basis

  • Count the available quantity in its exact unit, with pack size and number of containers.
  • State any whole-lot, minimum quantity, split or order-increment conditions.
  • Make the asking-price basis and currency clear; distinguish a unit price from the total for the quantity discussed.

Batch, dates and condition

  • Match the batch or lot reference on the goods with the paperwork for that batch.
  • Record the manufacturer's expiry or retest declaration as stated; do not invent a new date.
  • Describe seals, opened containers, repacking, damage and the storage history you can evidence.

Available documents

  • Locate the available CoA, specification, SDS and other relevant records; identify what is missing.
  • Review the document and the batch/material references before presenting it as evidence.
  • Remove buyer-specific or commercially private content through the platform's review process; never promise access to an unreviewed file.

Packaging components

  • For bottles, jars and closures, record dimensions, capacity, neck finish and compatible component references.
  • State whether components are decorated, labelled or printed with another brand's artwork.
  • Collect the evidence needed for the intended application, and agree any sample or line trial with the buyer.

Collection and handover

  • Prepare weights, pack/pallet dimensions and handling information needed to discuss collection.
  • Use the permitted public location on the listing; share further collection details only through the appropriate trade process.
  • Confirm freight responsibilities and any special transport needs before agreeing the order. Buyers and sellers settle directly.

What a buyer can see

Public listings show their permitted material facts and document-availability indicators. Available Certificates of Analysis require sign-in; other documents follow the enquiry access. A file being attached does not mean that its contents are public. Keep private identities, addresses and buyer references out of public descriptions and photos.

For the differences between a batch certificate and a site or product record, read the document guide. Compare raw-material and packaging procurement checks before committing to a trade.
